Project Coordinator (Contract)
Sydney, Australia

We are looking for a motivated Project Coordinator to join our team at Xinova. This is a temporary, 3-month position with the possibility of extension. You will have the opportunity to work across a variety of domains, primarily in project coordination but also providing support for our financial teams and for office management.

What you get to do:
Project Coordination
  • Support local team with client projects– maintaining up to date deal tracking on invoices and Op Ex reports
  • Handle inventions/agreements processes for organizations sourced in Australia, which includes carrying out due diligence upon invention submissions and selections
  • Maintain data integrity in Salesforce and liaise with the Operations team
  • Coordinate workshops/events external and internal

Financial Support
  • Support APAC finance on accounting related activities including banking operations, monthly out of pocket expenses & AMEX reports for Staff and office expenses
  • Support US Finance team with monthly/Ad-Hoc payments and approvals
  • Manage Travel and Expense airfare booking arrangements and expense claims processes

Administrative
  • Manage office operations compliance and handle office administrative matters, such as IT, stationary, kitchen and building operations
  • Support HR on recruitment and handle employee on-boarding processes
  • Maintain HR employment contracts, office agreements and finance activities records
  • Support IT technical team and work with external service provider on system network technical matters, office equipment deployment etc.
